Policies & Guidelines

Overnight Guests - Arrival and Departure

Check-in is available between 3:00 PM and 6:00 PM. If you anticipate arriving outside of this window, please contact us in advance at +1 (352) 999-5586 to make arrangements. Check-out is at 11:00 AM. Late check-out may be available upon request and is subject to availability. An additional fee of $50 will apply.


Overnight Guests - Cancellations and Refunds

A deposit is required to confirm all reservations. We understand that plans can change and will always do our best to accommodate our guests. For standard room reservations, cancellations must be made at least 14 days prior to arrival. Holiday stays, special events, and multiple room bookings require a minimum of 30 days’ notice. Full property overnight reservations are subject to a 60-day cancellation policy. Full property events, weddings, and other group bookings are non-changeable and require a minimum of 90 days’ notice for cancellation.


Please note that reservation deposits become non-refundable if cancellations are made after the applicable deadline. We appreciate your understanding, as these policies help us maintain a high level of service and hospitality for all of our guests.


Private Dinner Reservation & Guest Count Policy

To confirm any private reservation at Emberwood Manor—including private dinners, cooking classes, and other events—a non-refundable deposit of 50% of the total estimated cost is required at the time of booking. This deposit secures your date and will be applied toward your final balance. Final guest count must be confirmed no later than 48 hours prior to your event. Any changes to the number of guests made after this time will not alter the final invoice. You will be responsible for the full amount based on the most recent guest count confirmed before the 48-hour deadline. This policy ensures we can prepare appropriately and maintain the high standard of service our guests expect. This Policy does not include Private Events and Weddings, please refer to your Event Contract for Guest Count Policies.


Use of Manor Amenities

To ensure a peaceful and relaxing experience for all overnight guests, quiet hours are observed daily from 10:00 PM to 8:00 AM. During this time, we kindly ask that noise be kept to a minimum throughout the property, including outdoor spaces, the pool area, porches, and common areas. Amplified music, loud conversations, and other disruptive noise are not permitted during quiet hours.


Guests of Emberwood Manor are welcome to enjoy shared spaces such as the pool, library, and lounge. However, access to these areas may be limited or restricted during private events. Exclusive access to all interior and exterior common areas is only guaranteed with a full-property booking under the “Ultimate Emberwood” package.


Room Occupancy & Overnight Guest Limits

To ensure the safety, comfort, and compliance of all guests, occupancy limits are strictly enforced. Unless otherwise noted, each guest room accommodates a maximum of two (2) overnight guests. The Wagner Suite accommodates a maximum of four (4) overnight guests. The registered occupancy for each room may not be exceeded at any time without prior written approval from Emberwood Manor. The use of air mattresses, cots, sleeping bags, portable beds, or similar accommodations to increase room occupancy is not permitted. Sleeping on sofas or in common areas is also prohibited. Only registered overnight guests are permitted to remain on the property after quiet hours. Any additional overnight occupants or unauthorized overnight stays may result in additional charges, immediate removal from the property, or termination of the reservation without refund. For the safety of all guests and in compliance with fire code and insurance requirements, Emberwood Manor reserves the right to verify occupancy and deny access to any unregistered overnight guests.


Guest Visitors, Day Guests & Unauthorized Events

Emberwood Manor is a private property reserved primarily for registered overnight guests and approved event attendees. For the comfort, safety, and privacy of all guests, any visitors who are not registered overnight guests must receive prior approval from management before entering the property. Overnight guests may invite a maximum of two (2) day guests per reserved room to utilize the pool and outdoor common areas, subject to prior approval and availability. Additional visitors may require an additional fee and must be approved in advance. A full-property reservation or "Ultimate Emberwood" buyout grants exclusive lodging access to the property but does not authorize the hosting of parties, receptions, celebrations, reunions, meetings, or other organized gatherings beyond the scope of the reservation. Any gathering involving non-registered guests, vendors, entertainment, catering, or event-style activities must be approved and booked through Emberwood Manor as a private event. Unauthorized events, excessive visitors, or unapproved use of the property may result in additional fees, immediate removal of visitors, termination of the reservation without refund, and/or charges for damages, staffing, cleanup, or restoration as determined by Emberwood Manor. Emberwood Manor reserves the right to limit, deny, or revoke visitor privileges at its sole discretion to protect the experience of all guests and preserve the property.


Smoking, Vaping, & Substance Use (Smoke-Free Property)

To ensure the comfort, health, and safety of all guests, Emberwood Manor is a completely smoke-free property. Smoking and vaping of any kind—including e-cigarettes, cigars, pipes, and cannabis—are strictly prohibited anywhere on the premises, including all indoor and outdoor areas, guest rooms, cottages, porches, gardens, and common spaces.


Possession or use of medicinal marijuana on the property is prohibited unless expressly approved in writing by Licensor prior to Licensee’s stay or event. Documentation demonstrating lawful medical need and compliance with applicable state laws must be submitted and approved in advance. The use or possession of illegal substances and underage drinking are strictly prohibited. For safety and preservation of the Manor, the burning of candles, incense, or open flames is not permitted anywhere on the property. Guests who violate this policy will be required to vacate the premises immediately and will incur a $300 cleaning and restoration fee. No refunds will be issued in such cases.


Children

We warmly welcome well-behaved children ages 10 and older as individual guests and delight in treating them like royalty during their stay. Should you need any special amenities or accommodations for your child, please feel free to inquire with the innkeepers in advance.


For full property buyouts and special events, children of all ages are welcome to join in the celebration.


Pets

We are pleased to welcome canine companions in The Cottage at Emberwood Manor. Guests may bring up to three dogs, with a fee of $50 per dog, per night. For the comfort and safety of all guests, we kindly ask that pets remain leashed while on the property and are not permitted on furniture. A designated pet relief area is available, and we ask that owners promptly clean up after their pets.


Please note that dogs are not allowed in the main house, on the farm property, or within any farm animal enclosures.


Pool and Hot tub

Guests are welcome to enjoy the pool and hot tub from dawn until dusk. Appropriate swimwear is required at all times. Please note that there is no lifeguard on duty—use of the pool and hot tub is at your own risk. Overnight guests may invite a maximum of two (2) day guests per reserved room to utilize the pool and outdoor common areas, subject to prior approval and availability.


For the safety and comfort of all guests, children must be supervised at all times, and glassware is strictly prohibited in the pool and hot tub areas.


Damages

At Emberwood Manor, we take great pride in maintaining a clean, comfortable, and well-appointed environment for all of our guests. We kindly ask that you treat the property and its furnishings with care and respect during your stay.


Guests will be held responsible for any damage, loss, or excessive cleaning required due to negligence or misuse. Charges for repairs, replacements, or additional cleaning will be assessed accordingly and may be applied to the payment method on file.


Lost items found after departure will be held for thirty (30) days. Upon request, Emberwood Manor is happy to return items at the guest's expense, including applicable shipping and handling charges. Unclaimed items may be donated or discarded after the holding period.


Décor & Environmental Safety

To protect the health and safety of our farm animals and preserve the natural environment of Emberwood Manor, the use of glitter, plastic confetti, sequins, microplastics, balloon releases, or similar decorative materials is strictly prohibited anywhere on the property, including indoor and outdoor spaces.


Fireworks, sparklers, sky lanterns, smoke bombs, fire performers, and any other pyrotechnics or open-flame entertainment are prohibited unless specifically approved in writing by Emberwood Manor and permitted by applicable law.


Any décor that sheds, scatters, or cannot be fully contained and removed is not permitted. Guests are responsible for ensuring that all decorations brought onto the property comply with this policy.


Violations may result in additional cleaning or restoration fees, and Emberwood Manor reserves the right to require immediate removal of prohibited items or to end an event without refund if necessary to protect guests, staff, animals, or the property.


Keys and Access

Guests are responsible for the return of all keys. A replacement fee of $25 will be charged for any key that is lost, not returned, or otherwise removed from the property without authorization.


Security Cameras & Recording in Common Areas

For the safety, security, and protection of our guests, staff, animals, and property, Emberwood Manor utilizes video recording in select public and common areas of the property. These areas may include, but are not limited to, entrances and exits, driveways, parking areas, exterior grounds, and shared indoor spaces. There are no recording devices located inside guest rooms, private accommodations, or private restroom areas. Monitoring is conducted solely for security purposes and is not used for marketing or guest surveillance. By entering the property, guests and all members of their party acknowledge and consent to being recorded in these public and common areas. Any attempt to tamper with, disable, or interfere with security equipment is strictly prohibited and may result in immediate removal from the property without refund, as well as additional fees or legal action if necessary.


Privacy & Payment Security

Your privacy is important to us. All personal and payment information shared with Emberwood Manor is securely processed through ResNexus, our trusted reservation platform. Credit card details are encrypted, PCI-compliant, and never stored on-site. We will never share or sell your information, and it is used solely to support your stay and enhance your experience.

Accommodation-Only Hotel

Any use of the Manor or its surrounding grounds beyond standard guest lodging must receive prior written approval from management. This includes, but is not limited to, wedding or engagement photography, commercial photo or film shoots, product launches, group gatherings, and other events or activities outside the scope of overnight accommodations. A full-property buyout is considered an overnight lodging reservation unless otherwise specified in a separate Event Agreement and does not grant permission to host an event, gathering, reception, party, or celebration involving additional guests without prior written approval from Emberwood Manor.


Responsibility for Guests, Invitees & Vendors

The individual who books, signs for, or financially secures a reservation or event at Emberwood Manor (“Primary Guest”) assumes full responsibility and liability for the conduct and compliance of all individuals on the property in connection with their stay or event. This includes, but is not limited to, overnight guests, event attendees, family members, invitees, vendors, contractors, and service providers.


All persons present on the property—regardless of whether they personally signed Emberwood Manor’s policies—are required to comply fully with all rules, policies, and guidelines established by Emberwood Manor.


Any violation of Emberwood Manor’s policies by any member of the Primary Guest’s party may be treated as a violation by the Primary Guest. Emberwood Manor reserves the right to assess fees, require immediate removal from the property, or terminate a stay or event without refund, with all resulting costs, damages, or penalties charged to the Primary Guest.


Right to Refuse Service & Immediate Removal

Emberwood Manor reserves the right, at its sole discretion, to refuse service or require any guest or group to vacate the property at any point during their stay or event if their behavior is disruptive, unsafe, harmful to other guests, staff, animals, or the property, or if they fail to comply with Emberwood Manor’s policies.


This includes, but is not limited to, violations related to smoking, substance use, unauthorized events or activities, excessive noise, property damage, or conduct that interferes with the comfort, safety, or enjoyment of others.


In such cases, no refunds will be issued, and additional charges for damages, cleaning, or restoration may apply.


Other

If you have any dietary restrictions or food allergies, please inform us at the time of your reservation so we can accommodate your needs with care and attention.


Complimentary parking is available for registered guests in designated parking areas. Oversized vehicles, trailers, RVs, boats, or commercial vehicles require prior approval. Electric vehicle charging is not currently available unless approved in advance.


Agritourism Notice

As part of our commitment to sharing the beauty and bounty of rural Florida, Emberwood Manor is proud to operate as an agritourism destination. Guests are invited to enjoy curated experiences that may include culinary classes, garden tours, or seasonal events that connect them to the land and local heritage.  Guests are asked to admire our farm animals from a respectful distance unless invited to participate in a supervised interaction. Feeding, entering animal enclosures, or handling animals without permission is prohibited for the safety of both our guests and our animals.


In accordance with Florida Statute §570.89 by choosing to participate in any on-site experiences, guests acknowledge and accept related risks as part of their visit.


Indemnification & Hold Harmless

The Guest agrees to indemnify, defend, and hold harmless Emberwood Manor, including its owners, employees, agents, and representatives, from and against any and all claims, demands, damages, losses, liabilities, costs, and expenses, including but not limited to attorneys’ fees, court costs, and other legal expenses, whether incurred at the trial or appellate level or in connection with any bankruptcy, reorganization, insolvency, or similar proceeding.


This indemnification applies to any claims or liabilities arising directly or indirectly from Any breach of Emberwood Manor’s policies or agreements by the Guest or any member of the Guest’s party, vendors, or invitees; or Any failure by the Guest to comply with their obligations during their stay or event at Emberwood Manor.


The provisions of this section shall survive the completion, expiration, or earlier termination of the Guest’s stay, reservation, or event.
